Refunds for State Convention, Rev 1
Periodically the Mississippi Chapter of the American Massage Therapy Association (MS AMTA) may hold a State Convention, that may include continuing education courses with fees charged for facilities, registration and courses/supplies; an exhibitor area with fees charged for spaces for selling products or providing information; social activities with fees charged for facilities, entertainment, and food; and other associated activities with corresponding fees. This policy will be followed in the event refunds are requested by persons who have previously registered and paid fees for the State Convention due to:
Notice of Cancellation
Any notice of cancellation must be in writing, dated and signed by the affected person, and delivered to the MS AMTA Convention Chairperson.
Cancellation by a Continuing
Education Course Attendee
If an attendee who cancels participation in all or some of the continuing education courses for which the attendee has previously registered and paid the associated fees, then the Balance shall be calculated on the following basis:
Balance = F – R – S – A
Where,
F = associated fees paid by attendee for the course(s)
R = State Convention registration fee of $50.00
S = fees paid for supplies associated with all course(s)
A = associated fees for any non-canceled course(s) corresponding to the postmarked date attendee registered and paid
If attendee’s notice of cancellation is received in the following time period[1], then a Refund shall be calculated and paid[2] as follows:

No refunds shall be paid for a social activity, or other Convention-associated activity.
Cancellation by an Exhibitor
If the canceling exhibitor provides notice of cancellation at least seven (7) days prior to the first day of the State Convention, and if the exhibitor spaces are fully subscribed and there is a waiting list of potential exhibitors, and if a potential exhibitor actually takes the canceled exhibitor space, then a full refund of the previously paid exhibitor space fee shall be made. Otherwise, no refunds shall be made for fees previously paid for an exhibitor space(s).
No refunds shall be paid for a social activity, or other Convention-associated activity.
Cancellation of a Continuing Education Course by MS AMTA
If a continuing education course at the State Convention is canceled for any reason by the presenter or MS AMTA, then each registered attendee shall be paid an amount calculated as follows:
Refund = F + S
Where,
F = average dollars per course houur paid by attendee for all course(s) times the number of hours for the canceled course(s)
S = fees paid for supplies associated with the canceled course(s)
Each affected Convention Attendee must request the refund in writing under the provisions of the Notice of Cancellation section of this policy.
Cancellation of a Social Activity or Other Activity by MS AMTA
No refund shall be made due to cancellation of a social activity by MS AMTA or the providing organization. Although under no obligation, MS AMTA may make reasonable efforts to provide a back-up location for any scheduled social activity.
No refund shall be made due to cancellation
of any other Convention-associated activity by MS AMTA or the providing
organization.
Discretion of MS AMTA Board
At the sole discretion of the MS AMTA Board, the Board may consider extenuating circumstances related to any request for refund from an affected Convention attendee or from an exhibitor and, by majority vote, may decide case-by-case deviations from this policy. No such case-by-case decisions shall be precedent-setting unless included in a future revision of this policy.
